Backing the Whites,

1.1. The name of the organisation shall be the "Salisbury FC Supporters Club" (hereafter referred to as SFCSC).

2.1. Represent and campaign on behalf of Salisbury FC supporters on issues decided by the Annual General Meeting (AGM) and/or the Executive Committee.

2.2. Establish and maintain open channels of communication with the Directors and Management of Salisbury Football Club, encouraging them to value the participation of all fans, and ensuring equal opportunities are promoted across the supporter base.

2.3. Organise high-quality services for SFCSC members, including away travel, competitions, and social functions.

2.4. Provide financial support to Salisbury FC from funds raised through Supporters Club events and initiatives.

2.5. Increase opportunities for Salisbury FC supporters to express active support for the Club.

2.6. Affiliate with appropriate national or regional football supporters' organisations and encourage positive social interaction with supporters of other clubs.

2.7. Enable the local community to benefit, wherever possible, from the activities of the Supporters Club.

2.8. Undertake all lawful actions necessary to facilitate the objectives of the Supporters Club.

3.1. Membership is open to all who support Salisbury Football Club. SFCSC is committed to fairness, inclusion, and equality for all, regardless of race, ethnicity, nationality, gender, sexual orientation, marital status, disability, age, religion, or belief.

3.2. There shall be one category of membership: Full Membership, which includes all voting rights and benefits. The membership year shall run from 1st August to 31st July annually.

3.3. Membership fees shall be proposed by the Committee and submitted for approval at each AGM.

3.4. Annual subscriptions must be paid before a member is granted voting rights or access to membership benefits. Membership expires at the end of each membership year (31st July).

3.5. Candidates seeking membership must complete an application form. The Committee reserves absolute discretion over acceptance and the issuance of membership credentials.

3.6. No application shall be approved unless the applicant agrees to abide by this Constitution and pays the required membership fee.

3.7. If a member pays for an excursion or event and fails to attend, any refund requested shall be at the sole discretion of the Committee.

3.8. The Committee shall have the power to reprimand, suspend, or expel any member who breaches the rules or whose conduct renders them unfit for membership. Any suspension shall take effect immediately from the date of the incident or decision. The member shall be notified in writing and given 7 days to lodge an appeal. If any payment made by a member is dishonoured, the member shall be liable for any associated administrative bank charges.

4.1. An Executive Committee consisting of a Chairperson, Vice-Chairperson, Secretary, Treasurer, Membership Secretary, Website/Media Administrator, and at least three (3) additional committee members shall be elected annually at the AGM.

4.2. Nominations for election to the Committee (proposed and seconded by full members) may be submitted prior to or during the AGM.

4.3. The Committee shall have the power to co-opt members to fill any vacancy until the next AGM. The Committee may also invite non-voting advisors or observers to attend meetings.

4.4. Any Committee member who fails to attend three (3) consecutive meetings without a reasonable explanation shall be deemed to have resigned.

4.5. The Committee shall meet monthly, or as necessary, to manage SFCSC business. Open meetings for all members shall be held at least once per year.

5.1. Chairperson: Shall preside over all General and Committee meetings. They shall have a deliberative vote and a casting vote in the event of a tie. In their absence, the Vice-Chairperson or Secretary shall preside.

5.2. Secretary: Shall issue notices for all meetings, manage correspondence, maintain official minutes, and publish or distribute minutes as required.

5.3. Treasurer: Shall maintain accurate records of all financial transactions and manage bank accounts held in the name of SFCSC. Bank transactions shall require authorization by two (2) designated officers (from Chairperson, Vice-Chairperson, Secretary, or Treasurer). The Financial Year shall run from 1st June to 31st May. The Treasurer shall present a financial report at monthly meetings and an independently reviewed/audited statement of accounts at the AGM.

5.4. Membership Secretary: Shall maintain the register of members, collect subscription fees, issue receipts/proof of membership, ensure funds are passed to the Treasurer within 30 days, and maintain active member statuses.

5.5. Website & Media Administrator: Shall maintain the official website and digital communications, ensuring committee updates, announcements, and news are routinely published.

6.1. The quorum for Executive Committee meetings shall be at least three (3) Committee members.

6.2. The quorum for an AGM or EGM shall be 30 full members or 25% of the total paid membership, whichever is lower (including sitting Committee members).

7.1. The AGM shall take place annually on or before 31st July.

7.2. The Executive Committee shall give at least 28 days' clear notice of any AGM to all members.

7.3. Agenda items or formal resolutions must be submitted in writing to the Secretary at least 14 days prior to the AGM.

7.4. Every paid-up member holds one vote. Voting shall be by a show of hands or ballot. In the event of a tie, the Chairperson holds the casting vote.

7.5. AGM Business shall include: approval of Committee appointments/elections; receiving and approving the Annual Report and Audited Accounts for the preceding year; addressing formal matters raised by members (subject to notice); appointing an independent reviewer/auditor for the upcoming financial year.

8.1. An EGM may be called to address urgent matters that cannot wait for the AGM.

8.2. An EGM can be convened by either a majority vote of the Executive Committee or by a written request signed by at least 25% of the total membership.

8.3. The request must state the specific business to be discussed. The Secretary shall give members at least 14 days' notice of the EGM and its agenda. No other business shall be conducted at an EGM.

9.1. All funds collected on behalf of SFCSC shall be deposited into a regulated UK bank account in the name of the Supporters Club.

9.2. Dual authorization (two signatures or dual online approvals) from designated officers is required for all payments, withdrawals, and cheques.

9.3. SFCSC income and property shall be applied solely toward promoting the objectives outlined in this Constitution. No portion shall be distributed to members except as legitimate out-of-pocket expenses incurred on behalf of the Club.

10.1. All formal complaints regarding SFCSC operations or member conduct must be submitted to the Secretary in writing.

10.2. Disputes shall be reviewed by the Executive Committee, which holds the authority to investigate and determine an appropriate resolution.

11.1. Data Protection: SFCSC shall process and store personal member data in compliance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018. Member data shall be accessible only to designated officers for operational purposes and shall not be shared with external third parties without explicit consent.

11.2. Constitutional Amendments: This Constitution may only be altered or amended by a majority vote at an AGM or EGM. Proposed amendments must be submitted to the Secretary in writing at least 14 days prior to the meeting.

11.3. Name Usage: No individual or group may use the name, logo, or assets of the Salisbury FC Supporters Club without express permission from the Committee.

11.4. Honorary Positions: The Committee reserves the power to invite an individual to serve as Honorary President. This position is ceremonial, non-executive, holds no voting power on the Committee, and represents the Club at public or official functions.

11.5. Accessibility: A copy of this Constitution shall be maintained on the official SFCSC website and provided in print/digital format upon request to any member.
